AI workflow guide

First write out the workflow clearly, then decide which AI to use.

Define the minimum useful version from owner, trigger, input, human boundaries, output, testing, and operational responsibility.

Ten workflow blueprint checklist

Put the following questions on the same page. Parts that cannot be answered are the conditions to be met before entering development.

Task name and owner

Name tasks by business action. Record who is currently accountable for the result, and who uses, reviews, or depends on the output.

Trigger and completion criteria

What event starts the task, and what structured output, system state, or decision marks completion.

Current blockers and desired improvements

Where do delays, rework, errors, inconsistencies, or missing information occur, and what do you want to become faster, more stable, or easier to review.

Trusted inputs and sources

Which documents, fields, examples, and systems are needed, which version is most authoritative, and who decides on conflicts.

What AI can do

List what can be completed, what can be prepared for human review, and what is not allowed to be auto-decided.

Tool actions and permissions

What identity, confirmation, and audit are required for each query, write, send, approval, or irreversible action.

Stop, ask, and escalate conditions

When encountering missing, conflicting, sensitive, urgent, high-impact, or out-of-scope items, when does the system pause and who does it contact.

Minimum useful version

Limit to one user group, one process, and necessary connections, avoiding building an enterprise-wide platform the first time.

Representative tests

Prepare normal, abnormal, missing, conflict, and high-risk samples; define quality, permissions, latency, cost, and human judgment.

Launch and next review

Clarify the initial users, support, operation owner, monitoring, rollback, evidence, and time of the next decision.

Preserve unknowns when in use
